Event Dates and Times
Well Made takes place September 26–27, 2025. The Friday event will offer VIP guests a first glimpse at the products in a reception-style setting from 6:30–9:30 p.m. Saturday’s event is open to the general public from 10 a.m.–7 p.m. and will have a family friendly, festival feel.
Booth Space and Fees
All booth spaces will be 10 feet by 10 feet. Based on the information submitted in the application, the selection committee will determine if an exhibitor will have an indoor booth or an outdoor booth.
Exhibitors in indoor spaces will be in the Dewey Gottwald Center and will participate in both Friday and Saturday event hours. Indoor booth space is $150.
Exhibitors in outdoor spaces will be in the TrainYard and will participate in Saturday event hours only. Outdoor booth space is $75.

Exhibitor Selection Process and Timeline
All exhibitor applications are due March 28, 2025. The selection committee will review applications during the month of April and will reach out to exhibitors with questions. All applicants will be notified regarding their participation in Well Made on May 1, 2025.

Rules and Compliance
You agree to adhere to the following Science Museum policies, rules, safety guidelines and procedures:
- You are responsible for securing and setting up your own booth.
- You are responsible for arriving one hour before the beginning of the event.
- You are responsible for cleaning up your booth at the end of the event.
- Firearms and weapons are prohibited.
- Smoking and vaping is prohibited outside of designated areas.
- Consumption of alcoholic beverages is prohibited while working the event.
- You must behave professionally and respectfully toward event guests, vendors, exhibitors and Science Museum staff.
- You are at least 18 years of age or older or have an accompanying parental/guardian at least 18 years of age to participate.
Product Guidelines
- All items must be created or demonstrated by the exhibitor. The resale of wholesale items is prohibited.
- Exhibitors may only show/sell work from the category in which they have been accepted.
- Any items not listed on the application and/or not created by the exhibitor will not be allowed.
- Only the exhibitor and booth partner(s) will be eligible to check into the event.
- Exhibitors are required to bring enough inventory of their products to sell for the entire show. If an exhibitor believes they are in danger of running out of stock, they must report to the Science Museum event organizer immediately.
- All transactions and demonstrations must be confined to the assigned booth.
- Exhibitors must use PCI compliance when processing all credit card transactions.
- All material must be in compliance with all applicable laws, rules and regulations of the United States and the Commonwealth of Virginia.
- Exhibitors should remember this is a family friendly event. All items on display must be respectful and in good taste. No obscene items are allowed.
- The Science Museum has the right to prohibit the sale of any products deemed out of compliance with these exhibitor rules and regulations.
Booth Information
- All single booth spaces will measure 10 feet by 10 feet.
- All displays must be designed, constructed and operated in good taste.
- Signs, tents, canopies or any other part of the display may not extend over into walkways.
- Exhibitors should bring identification signs and/or banners to decorate the booth.
- The Science Museum has the right to prohibit the installation and operation of any booths deemed out of compliance with these exhibitor rules and regulations.
- Exhibitors may not operate their booth outside of designated event times (open late or close early).
Supplies
Exhibitors must furnish their own display skirting/design and supplies. This includes, but is not limited to:
- Extension cord(s)
- Tent
- Lighting
- Fan
- Product/Craft
- Demonstration materials
- Payment mechanisms and chargers
- Food and drinks
The Science Museum will provide the following supplies:
- One 6’ rectangular table per booth
- Two chairs per booth
- Access to electricity (limited capacity, please note on application if needed)
Check-in and Setup Process
- The exhibitor (or the listed booth partner) must check-in with a photo ID and must attend the event in its entirety.
- All exhibitors (or the listed booth partner) must check-in during the official check-in times. Any exhibitor not checked in by the deadline (September 27 by 9 a.m.) will forfeit their booth space without refund.
- Load-in times are 10 a.m.–5 p.m., Thursday, September 25, and Friday, September 26.
- Load-out times are Saturday, September 27, 5:30–8 p.m., and Sunday, September 28, 10 a.m.–1 p.m.
- The exhibitor (or listed booth partner) may not sublease their booth space or employ sales agents or representatives in lieu of checking in or attending the event personally.
- Gas-powered generators are prohibited at the event.
- Exhibitors may not park vehicles near or beside their assigned booth. Exhibitors must use the designated parking areas.
- Exhibitors may bring coolers into the exhibitor areas prior to the opening of the event. Do not bring glass containers. Food will be available for purchase in the food truck area.
- Exhibitors must charge Virginia state and county tax on all sales. Exhibitors are solely responsible for collecting, reporting and paying all sales taxes collected to the Virginia Department of Revenue and Compliance Division. Exhibitors will receive forms in the registration packet.
- Exhibitors must provide a Certificate of Insurability when they provide payment. The proof of insurability must be valid through September 30, 2025.
- There are restrooms and water fountains accessible in the Dewey Gottwald Center for all exhibitors and guests.
Liability Waiver
Upon acceptance to be an exhibitor at Well Made, you agree to release the Science Museum, event organizers and sponsors from any liability for personal injury, property damage or loss incurred during the event. Upon acceptance, a formal, detailed liability waiver will be provided for signature.
Intellectual Property
Exhibitors retain the ownership of their intellectual property but grant Well Made a non-exclusive license to showcase their work for event-related purposes.
Cancellation
Well Made has the right to cancel or modify the event due to unforeseen circumstances, without liability to exhibitors. If an approved exhibitor cancels or withdrawals from the event after July 1, 2025, they will forfeit their booth fees and will not receive a refund.
Media Release
You grant the Science Museum permission to capture photos, audio and videos of your likeness, setup and business products for print and digital marketing needs including but not limited to:
- Vendor/exhibitor recruitment
- Educational materials
- News coverage
- Advertisements
- Posters and brochures
- Social media content
This authorization extends to all current and future media formats, without compensation, advance notice or additional approval.
